New Feature: My Jobs

If you use the PEP Cloud Dashboard regularly, then you might have noticed the new addition: My Jobs.  Similar to the eBids tab, My Jobs shows a color-coded list of the jobs you’ve created. YELLOW indicates a newly created job.  PURPLE shows that you’ve submitted a proposal or eBid.  GREEN lets you know the proposal has been accepted.  The line will be RED if the proposal is declined.  PEP Cloud automatically keeps track of the work you do within the program; now you can quickly see the status of that work.  This is especially helpful if you see multiple clients in a single day and bid on multiple jobs at the same time.     You can get more specific with the status by clicking on the job and editing it.  Once a proposal has been accepted, you’ll have to contact the client to schedule the work.  It’s a good idea to update the job status when you have the work on the calendar.     Likewise, update the status to Finished when the job is completed and make sure you’ve sent the invoice. Any changes you make here will be reflected on the...

Going Mobile

PEP Cloud is now optimized for your smart phone! The pace that technology is advancing in our everyday lives is amazing.  You can pretty much do everything with a single device: a smart phone.  It’s your morning alarm clock and your appointment calendar.  It gives you the news, sports scores, weather reports.  You can instantly get directions to a new client’s home (and real time step-by-step guidance to get there).  The app on your phone will even tell you how long it should take you to get to your destination with current traffic conditions.  Once you get there, your smart phone is the only electronic device you need to create an estimate, produce the eBid, and get the client’s signature of acceptance.  AMAZING! Although the smart phone screen is smaller than a tablet or desktop, it’s easy to use PEP Cloud.  It’s been optimized to fit on the screen without having to scroll right and left.  The program automatically recognizes that you’re using a smart phone, so you don’t have to do anything special. CLIENTS LIST:  Because you’re using a smart phone, you can call a client simply by tapping on his or her name and then tapping the phone number. Track eBid Status

Know the status of your bids with the PEP Cloud eBid Dashboard. How many emails did you send yesterday?  How about last week?  It was probably a lot.  You’ve probably also got a number of proposals and eBids in the works.  The eBid tab on the Dashboard is your go-to place to keep an eye on pending jobs.  It shows all the eBids you’ve produced in the selected time frame (1 week, 3 weeks, 1 month, 3 months, Year). eBids are color coded so you can quickly see the status:  GREEN for accepted jobs, PURPLE if the client has looked at it, YELLOW if it’s never been opened, and RED for declined.  If you sent a bid last week and it hasn’t been viewed by the client, you know that you need to call and follow up.  Likewise, when you see a bid is accepted, you can contact the client and schedule the...

The Source of your Leads

Where do your leads come from? You spend money on advertising in a variety of places.  Do you know which ads are worth your money?  PEP Cloud makes it easy to find out.  Ask new contacts how they heard about your company.  When adding the contact as a new client, record how you met that client in the “Lead Source” field.  You can type the source however you want, but you need to be consistent so that the system can accurately track your sources.  If another client sends a new contact your way, you might categorize that lead as REFERRAL, or WORD OF MOUTH, or VERBAL.  They all mean the same thing, so pick one and use it.  If your information gets to people by mail in 2 different sources, you want to categorize them separately – perhaps FLYER and LOCAL MAILER. The lead statistics are available right on your PEP Cloud Dashboard.  Just below your sales data is a pie chart showing your leads.  Different views are available by changing the time increment at the top of the Dashboard.  If you pay for ads or mailers quarterly, you probably want to look at a 3 month view. The chart quickly shows you where your leads are coming from.  Use that information to make decisions about future advertising.  If one source is really productive, you might want to focus your energies there.  If one source isn’t producing new clients, you can consider eliminating it and trying something...
